Privacy Policy

Last updated: October 20, 2025

We're pretty straightforward about how we handle your info. No smoke and mirrors here.

Look, We Get It

Privacy policies can be a total slog to read through. We've tried to keep ours as human as possible because, well, we're actual humans running this firm.

At Xenoblade Horizon Architecture, we take your privacy seriously - not just because we have to legally, but because we'd want the same respect if roles were reversed. This policy breaks down what information we collect when you work with us or visit our site, and what we do (and don't do) with it.

If you've got questions that aren't answered here, just shoot us an email. We promise we'll actually respond.

What Information We Collect

Depending on how you interact with us, we might collect different types of info:

Personal Contact Stuff

When you reach out or start a project with us, we'll need basics like:

  • Your name and company (if applicable)
  • Email address and phone number
  • Physical address for project sites
  • Any project-specific details you share with us
Website Usage Data

Like most websites, ours collects some technical info automatically:

  • IP address and browser type
  • Pages you visit and how long you hang around
  • Where you came from (referral sources)
  • Device info and screen resolution

This helps us figure out what's working and what isn't on the site.

Project-Related Information

When we're working together on a design project, we'll obviously collect details about your property, design preferences, budget considerations, and any environmental assessments or site surveys. This stuff stays confidential and is only used for your project.

How We Actually Use Your Information

We're not in the business of selling data or doing anything shady. Here's what we do with your info:

  • Provide Our Services: Pretty obvious, but we need your contact info and project details to actually design your building or space. Can't really do architecture without knowing what you want, right?
  • Communication: We'll use your contact info to send project updates, answer questions, and occasionally share relevant news about sustainable architecture if you've opted in.
  • Improve Our Work: Anonymous usage data helps us understand what parts of our site are helpful and what needs work.
  • Legal Compliance: Sometimes we're required to keep certain records for Canadian building codes and regulations. Fun stuff.
  • Portfolio & Marketing: We might want to showcase completed projects, but we'll always get your explicit permission first before using any photos or details publicly.

Who We Share Information With

We don't sell your personal information. Period. But we do share it in a few specific situations:

Project Partners

Engineers, contractors, and consultants who are working on your project need access to relevant information. They're bound by their own confidentiality agreements.

Legal Requirements

If we're legally required to disclose information (court orders, regulatory compliance, etc.), we'll comply. But we'll notify you first unless we're prohibited from doing so.

Service Providers

Our email hosting, cloud storage, and website analytics tools might process your data, but they're contracted to keep it secure and private.

Business Transfers

If we ever merge with or get acquired by another firm (not planning on it), your information would transfer with the business. We'd let you know beforehand.

Cookies & Tracking Tech

Yeah, we use cookies. Not the chocolate chip kind, unfortunately.

Our website uses cookies and similar tracking technologies to remember your preferences and understand how people use the site. Most are harmless technical cookies that make the site function properly.

We also use analytics cookies (like Google Analytics) to see which pages get the most traffic and where visitors come from. This data's anonymized, so we're not tracking individual people around the web.

You can disable cookies in your browser settings, though some parts of the site might not work as smoothly. Your call.

Your Rights Over Your Data

Under Canadian privacy law (PIPEDA, specifically), you've got some solid rights:

  • Access: You can ask us what personal information we have about you. We'll provide it within a reasonable timeframe.
  • Correction: If something's wrong or outdated, let us know and we'll fix it.
  • Deletion: Want us to delete your data? We'll do it, unless we're legally required to keep it for regulatory reasons.
  • Objection: You can object to certain uses of your data, like marketing communications.
  • Portability: You can request a copy of your data in a commonly used format.
  • Withdraw Consent: If you've given us permission to use your info in a certain way, you can change your mind anytime.

To exercise any of these rights, just email us at info@xenobladehorizon.info or give us a ring. We'll get back to you within 30 days.

How We Keep Your Info Safe

We take security pretty seriously. Our measures include:

  • Encrypted connections (SSL/TLS) for data transmission
  • Secure cloud storage with encryption at rest
  • Limited access - only team members who need it can see your info
  • Regular backups in case something goes sideways
  • Password-protected systems with two-factor authentication

That said, no system's 100% bulletproof. We do our best, but can't guarantee absolute security. If there's ever a data breach affecting your information, we'll notify you promptly and let you know what happened and what we're doing about it.

Data Retention

We don't keep your information forever. Here's our general approach:

  • Active Projects: We keep all project data while we're working together and for a period afterward for warranty and reference purposes.
  • Completed Projects: Project files are typically retained for 7-10 years to comply with professional liability requirements.
  • Marketing Lists: If you're on our email list but haven't engaged in a while, we'll eventually remove you.
  • Website Data: Analytics data is kept for 26 months, then automatically deleted.

If you want your data deleted sooner, just ask. We'll accommodate unless there's a legitimate reason (legal requirement, ongoing project, etc.) we need to keep it.

Third-Party Links

Our website might link to other sites - maybe suppliers, partners, or resources we think are useful. Once you click those links, you're on their turf and their privacy policies apply, not ours.

We try to only link to reputable sources, but we can't be responsible for how other websites handle your data. Always worth checking their privacy policies if you're concerned.

Changes to This Policy

We might update this privacy policy from time to time as our practices evolve or if there are legal changes. When we make significant updates, we'll post the new version here and update the "Last updated" date at the top.

For major changes that affect how we handle your data, we'll reach out directly via email to let you know what's changing and why.

Questions? We're Here

If anything in this policy isn't clear or you've got concerns about how we handle your information, don't hesitate to reach out. We're real people and we actually respond.
